Job Title: Admin and Finance Officer

Location: Abuja (FCT)

Description

  • The Administrative and Finance Officer will oversee day-to-day administrative and financial operations of CTYDI.
  • This role is critical in ensuring operational excellence, compliance with donor requirements, proper documentation, and financial transparency to support program delivery and sustainability.

Key Responsibilities
Financial Management:

  • Set up and maintain a functional financial management system for CTYDI including a finance manual.
  • Prepare and maintain financial reports, statements, and records in accordance with accounting standards.
  • Monitor project budgets, track expenditures, and ensure alignment with approved budgets.
  • Process payments, bank reconciliations, retirements, and financial documentation.
  • Manage petty cash and ensure accurate record-keeping of all transactions.
  • Prepare monthly, quarterly, and annual financial reports for internal and donor review.
  • Assist in external and internal audit processes.

Administrative Duties:

  • Manage office inventory, supplies, and procurement processes.
  • Maintain staff records, contracts, and documentation in compliance with labor regulations.
  • Coordinate logistics for meetings, trainings, field visits, and outreach events.
  • Ensure documentation and archiving of program reports, activity memos, and compliance documents.
  • Support recruitment, onboarding, and administrative needs of staff and volunteers.

Compliance and Reporting:

  • Ensure proper documentation of expenses with supporting receipts and approvals.
  • Ensure adherence to the organization’s financial and administrative policies.
  • Support activities reporting by providing timely financial data.
  • Ensure CTYDI is compliant with statutory requirements (taxes, pensions, CAC filings).

Support to Program Teams:

  • Assist in budget planning for events, workshops, and trainings.
  • Monitor financial aspects of project implementation and flag variances.
  • Support project leads with resource planning and expense tracking.

Qualifications and Experience

  • A Degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 2 – 3 years of experience in finance and administration within a non-profit or NGO setting.
  • Proficiency in accounting software (e.g., QuickBooks, Sage, Excel).
  • Strong understanding of Nigerian tax laws, payroll processing, and NGO financial regulations.
  • Excellent organizational and interpersonal skills.
  • Ability to work under pressure and multitask across projects.

Desirable Attributes:

  • Experience in supporting donor-funded projects (e.g., faith-based, educational, or youth-development programs).
  • Strong ethical standards and attention to detail.
  • A passion for youth development, education, or community transformation.
  • Fluency in English (spoken and written).
