Job Description

  • The Administration Manager will play a pivotal role in ensuring the smooth and efficient operation of our facilities, regulatory compliance, routine office administration, and residence maintenance and management.

Key Responsibilities
Facility Upkeep:

  • Supervise maintenance and janitorial staff to ensure the cleanliness and functionality of company facilities.
  • Develop and implement maintenance schedules and procedures.
  • Oversee repair and maintenance projects, ensuring they are completed in a timely and cost-effective manner.
  • Manage relationships with external vendors and service providers for facility-related services.

Regulatory Body Relationships:

  • Maintain strong relationships with local, state, and federal regulatory agencies relevant to the company’s operations.
  • Ensure compliance with all applicable laws, regulations, permits, and licenses.
  • Prepare and submit required reports and documentation to regulatory bodies.
  • Stay informed about changes in regulations and ensure the company’s adherence to new requirements.

Routine Office Administration:

  • Supervise administrative staff and support their daily activities.
  • Oversee the procurement of office supplies, equipment, and services.
  • Implement and improve administrative procedures, policies, and systems to enhance efficiency.
  • Coordinate office events, meetings, and logistics.

Residence Maintenance and Management:

  • Manage residential properties owned or leased by the company.
  • Oversee the drafting and execution of lease agreements.
  • Coordinate utility payments and maintenance requests for residential units.
  • Ensure that residential properties are furnished and maintained to a high standard.

Key Performance Indicators (KPIs)
Facility Upkeep:

  • Percentage of facility maintenance projects completed on time.
  • Cost-effectiveness of maintenance and repair projects.

Regulatory Compliance:

  • Number of regulatory violations or non-compliance incidents.
  • Timeliness and accuracy of regulatory reporting.
  • Successful resolution of regulatory issues without significant impact on operations.

Routine Office Administration:

  • Efficiency improvements in administrative processes (e.g., reduced procurement time, streamlined event coordination).
  • Administrative staff productivity and performance evaluations.
  • Timely resolution of office-related issues and complaints.

Residence Maintenance and Management:

  • Timely execution of lease agreements and utility payments.
  • Prompt resolution of maintenance issues in residential properties.

Qualifications

  • Bachelor’s Degrees in Business Administration, Facility Management, or a related field (MBA preferred).
  • Proven 4 – 6 years’ experience in administration management, including facility upkeep, regulatory compliance, and residence maintenance.
  • Strong understanding of relevant laws and regulations.
  • Excellent organizational and leadership skills.
  • Exceptional communication and interpersonal abilities.
  • Proficiency in office software and administrative tools.
  • Ability to prioritize tasks and meet deadlines. • Strong problem-solving skills and attention to detail.
