Job Description

  • Our client is seeking to recruit an Executive Assistant who will provide exceptional administrative support to the executive team. The role encompasses tasks such as report creation, travel and accommodation organization, minute-taking, and various administrative responsibilities.

Responsibilities

  • Handle incoming calls and direct them to the appropriate executive or take messages.
  • Manage information flow efficiently and accurately.
  • Provide administrative support, including drafting emails, editing memos, and preparing communications on behalf of the executive.
  • Proactively assess and manage the daily needs of the executive, ensuring readiness for meetings and events.
  • Offer recommendations to executives regarding time management, prioritization, delegation, and organization.
  • Organize and maintain the office filing system.
  • Establish and enhance administrative systems and processes.
  • Assist with ad hoc projects, events, and travel arrangements as required.
  • Demonstrate versatility by efficiently handling multiple responsibilities and adapting to changes in business needs.
  • Collaborate with the executive team to optimize schedules for seamless organizational operations.

Skills and Requirements

  • Bachelor’s Degree or equivalent work experience.
  • Proven experience in executive assistant or relevant administrative support roles.
  • Proficiency in the Microsoft Office suite, with a deep understanding of the entire MS Office suite.
  • Strong time management skills and the ability to adapt to changing tasks and priorities.
  • Ability to work effectively across various roles and teams in a dynamic, fast-paced environment, demonstrating flexibility, proactiveness, resourcefulness, and efficiency.
  • Professional-level verbal and written communication skills.
  • Enjoy streamlining processes for increased efficiency.
  • Competence in handling sensitive information and situations with discretion and confidence.
  • Capability to anticipate and address others’ needs before they arise.
  • Experience in a high-growth technology startup is a plus.

Salary
