Job Summary
- We are seeking a highly organized, proactive, and discreet Executive Assistant to support our CEO in a fast-paced and dynamic environment.
- The ideal candidate will be a strategic thinker with exceptional communication skills, capable of managing complex schedules, coordinating high-level meetings, and handling confidential information with integrity.
- This role is critical in enabling the CEO to operate efficiently and effectively across all areas of the business.
Key Responsibilities
- Coordinate and manage the CEO’s calendar, including meetings, appointments, and travel
- Prioritize and resolve scheduling conflicts with sound judgment
- Serve as the primary point of contact between the CEO and internal/external stakeholders
- Draft, proofread, and manage email communications, memos, and reports
- Prepare agendas, take minutes, and follow up on action items for executive meetings
- Organize board meetings, investor calls, and leadership off-sites
- Plan and manage complex travel itineraries, accommodations, and expense reports
- Ensure seamless travel experiences with contingency planning
- Assist with special projects, presentations, and strategic initiatives
- Conduct research and compile data to support decision-making
- Handle sensitive information with the highest level of confidentiality and professionalism
- Maintain trust and credibility in all interactions.
Qualifications
- Bachelor’s degree in Business Administration, Communications, or related field
- 5+ years of experience supporting C-level executives, preferably in a high-growth or corporate environment
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite and calendar management tools (e.g., Outlook, Google Workspace)
- Ability to work independently, anticipate needs, and adapt to changing priorities
- High emotional intelligence and interpersonal skills.
