Job Title: Executive Assistant to the CEO

Location: Lagos

Overview

  • We are seeking a dynamic, highly skilled, and intelligent Executive Assistant to support the CEO of our rapidly growing media firm.
  • The ideal candidate will have a legal background, project management experience, a keen understanding of the media landscape, and a strong proficiency in IT.
  • This position offers an exciting opportunity to work closely with the CEO to drive critical projects, manage the CEO’s schedule, handle legal matters, and ensure smooth operations within the organization.

Key Responsibilities
CEO Support:

  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Manage and prioritize the CEO’s daily schedule, meetings, and appointments, ensuring that all are executed seamlessly.
  • Handle correspondence, phone calls, and emails with discretion and professionalism, addressing urgent matters swiftly.
  • Prepare and organize materials and briefings for meetings, conferences, and presentations.
  • Draft, review, and proofread documents for the CEO, including reports, memos, and legal agreements.

Legal Support:

  • Provide legal support to the CEO, including reviewing contracts, agreements, and internal policies.
  • Conduct legal research and prepare documents for any legal proceedings, ensuring compliance with industry regulations.
  • Coordinate with external legal advisors when needed, ensuring that legal matters are handled promptly and efficiently.
  • Assist with any corporate governance activities and ensure legal processes are followed for all internal and external operations.

Project Management:

  • Manage critical projects on behalf of the CEO, ensuring that timelines, budgets, and quality standards are met.
  • Coordinate cross-functional teams for project implementation, ensuring alignment and execution according to plan.
  • Track project progress, provide updates to the CEO, and proactively resolve any issues that arise.
  • Organize and streamline workflows, making sure that key deliverables are completed on time.

IT & Technology Proficiency:

  • Utilize a variety of digital tools to manage schedules, communications, and data flow efficiently (e.g., Microsoft Office Suite, Google Suite, project management tools like Asana or Trello).
  • Stay up-to-date with the latest technology trends in media, ensuring the CEO is well-informed about innovations that could benefit the company.
  • Troubleshoot minor IT issues and work with the IT department to resolve more complex problems as needed.

Media Industry Insight:

  • Have a solid understanding of the media industry, including trends in broadcasting, streaming, and digital media, to provide valuable input to the CEO.
  • Attend media events or industry conferences with the CEO, gathering insights and networking on behalf of the company.
  • Assist the CEO in making informed decisions by conducting research and analysis on media trends and competitors.

Administrative & Operational Support:

  • Organize and attend meetings, conferences, and events for the CEO, handling logistics such as travel arrangements and accommodations.
  • Coordinate the preparation of reports, presentations, and other documents for internal and external stakeholders.
  • Maintain and organize the CEO’s office, ensuring everything is well-managed and easily accessible.

Requirements
Educational qualification:

  • A Law Degree (LL.B.) from a recognized university. Additional qualifications in project management or business administration are a plus.

Experience:

  • At least 3 years of experience as an Executive Assistant, Legal Assistant, or similar role, with a focus on supporting senior leadership.
  • Demonstrated experience in project management, preferably in the media industry or related sectors.
  • Strong understanding of legal processes and corporate governance.
  • Familiarity with media-related operations, including broadcasting, streaming services, and digital media.
  • Skills & Abilities:
  • IT Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite, and project management software (e.g., Asana, Trello).
  • Communication: Exceptional written and verbal communication skills with the ability to draft legal documents and business correspondence.
  • Project Management: Ability to lead and manage multiple projects simultaneously, with a keen focus on details, deadlines, and quality.
  • Problem-Solving: Strong analytical and problem-solving skills, with the ability to think strategically and independently.
  • Discretion & Confidentiality: Ability to handle confidential information with the utmost discretion and professionalism.
