Job Summary

  • We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative support to the GMD Sujimoto Group.
  • The ideal candidate must have experience in handling a wide range of executive support tasks, working independently, and managing competing priorities with a high level of professionalism and discretion.

Responsibilities

  • Manage the GMD’s calendar, schedule meetings, and coordinate appointments, ensuring effective time management.
  • Prepare reports, presentations, and correspondence on behalf of the GMD.
  • Organize and attend executive-level meetings, taking accurate minutes and following up on action items.
  • Serve as the primary point of contact between the GMD and internal/external stakeholders.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Manage confidential documents and sensitive information with absolute discretion.
  • Support in project management, research, and strategic planning activities.
  • Liaise with department heads and other senior executives to facilitate company-wide communications and initiatives.
  • Monitor deadlines and ensure the GMD is well-prepared for all engagements and deliverables.
  • Assist in personal tasks when necessary, maintaining clear boundaries and confidentiality.

Requirements

  • Minimum of 5 years’ experience as an Executive Assistant or in a similar role, preferably in the real estate or corporate sector.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools.
  • Ability to work under pressure and meet tight deadlines.
  • High level of integrity, professionalism, and discretion in handling confidential information.
  • Adaptable, proactive, and able to anticipate the needs of a busy executive.
  • Familiarity with the real estate industry is a strong advantage.
