Job Description
- We are seeking an Executive Assistant to work directly with the Managing Director/CEO. This role involves providing support in planning, administration, communication, reporting, and follow-up on the needs of the Managing Director/CEO. You will undertake various tasks to support the vision, strategy, and tactics of the CEO and play a crucial role in managing communications in line with business objectives and priorities, collaborating with other Executive Management Committee members and Departmental Managers to ensure timely execution.
Responsibilities & Duties
Your responsibilities will include:
- Managing emails, information, and other communications, answering when possible, and prioritizing those that require the CEO’s attention.
- Planning and maintaining the CEO’s calendar, arranging appointments, organizing agendas, and action points for meetings.
- Acting as a “follow-up Manager” across the Board and Senior Management Team to ensure the execution of agreed-upon actions.
- Typing up notes, emails, presentations, and reports, circulating and filing information.
- Maintaining strict confidentiality regarding sensitive information, financial documents, records, and the CEO’s personal matters.
- Providing a “Gatekeeper and Gateway” role to manage access to the CEO’s time and office effectively.
- Preparing the conference room and organizing meetings for the Board, Senior Management, and Investors, including compiling meeting agendas and materials.
- Sorting, screening, reviewing, and distributing incoming and outgoing mails and ensuring timely responses to routine written inquiries.
- Scheduling and organizing travel, meetings, seminars, conference calls, and webinars.
Requirements
To be considered for this role, you should have the following qualifications and skills:
- B.Sc Degree / HND in a related field or equivalent experience.
- 4 – 8 years of relevant work experience.
- Highly skilled in Microsoft applications, including Outlook, Word, Excel, and PowerPoint.
- Ability to handle confidential information with discretion is a MUST.
- Effective communication skills for interacting with Executives, Board members, Senior Management Staff, Managers, and employees.
- Strong organizational and time management skills, with the ability to work under pressure and meet deadlines in a fast-paced environment.
- Strong interpersonal communication and negotiation skills, including the ability to interact effectively with people from diverse cultures and backgrounds.
- Excellent written and oral communication skills.
- Outstanding attention to detail.
Salary
- N100,000 – N130,000 Monthly.
