Job Title: Executive Secretary

Job Details
- The ideal candidate will handle correspondence, organize meetings, and perform various administrative tasks to ensure the smooth operation of the executive’s office aimed at enhancing the overall efficiency of Company business by ensuring timely and efficient completion of all assigned administrative tasks.
Duties and Responsibilities
- Responsible for scheduling meetings, receiving and screening phone calls and redirecting them when appropriate as well as organizing important documents.
- Maintain the executive’s agenda, plansappointments and meetings, attends meetings and take/record minutes of meetings
- Manage correspondence, arrange travel, maintains records, and assist in various administrative tasks.
- Ensure efficient coordination and support to executives
- Handle and prioritize all outgoing or incoming correspondence ie e-mail, letters, packages etc.
- Perform receptionist duties for seniormanagement
- Monitor office supplies and negotiate terms with suppliers of stationeries to ensure the most cost- effective orders
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned.
Educational Qualification and Experience
- Candidates should possess a Bachelor’s Degree in Arts, or equivalent is required.
- Minimum of 10 years proven experience asexecutive secretary or similar administrative role
- Prior experience as a secretary or any similar role
- Proficient in MS Office and “back-office” software (e.g. ERP)
- In depth knowledge of office management and basic technical vocabulary of relevant industry
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Ability to multitask
- Strong attention to detail.
