Context

  • Working under the overall supervision of Chief of Mission and the direct supervision of the Programme Manager (Peacebuilding and Reconciliation) / Head of Sub Office in Katsina, the Field Office Associate will provide administrative and financial support to facilitate the smooth implementation of project activities.
  • This role supports communication among team members, stakeholders, and the community while contributing to the achievement of project objectives.

Responsibilities

  • Assist in daily administrative tasks, including drafting and managing correspondence, scheduling meetings, and maintaining project documentation.
  • Organize and maintain electronic and physical files for project documentation, allowing easy access for team members.
  • Support the arrangement and coordination of meetings with project stakeholders, including preparing agendas, taking minutes, and following up on action points.
  • Assist in the logistical planning and implementation of project events, workshops, and training sessions, including venue arrangements, materials preparation, and participant coordination.
  • Input and maintain project data in databases and spreadsheets, with accuracy and timeliness.
  • Under the guidance of the supervisor, serve as a point of contact for team members and assist in liaising with Government stakeholders, local authorities, and community leaders, contributing to communication and cooperation for inclusive project participation.
  • Support the tracking of project expenses and assist in the preparation of financial reports in line with budgetary guidance.
  • Provide logistical and administrative support to project team members to facilitate project delivery.
  • Support the implementation of project activities and related documentation in line with organizational procedures and standards.
  • Assist in compiling inputs for new concept notes or/and proposals in coordination with the Programme Manager and Programme Support Unit.
  • Handle administrative processes, such as raising online purchase requisitions and submitting online invoices payable related to field requests.
  • Perform such other duties as may be assigned.

Qualifications
Education:

  • High school diploma with five years of relevant experience; or,
  • Bachelor’s degree in Business Administration, Project Management, Development, Social or Political Sciences, Peacebuilding, Management, or related fields from an accredited institution with three years of relevant professional experience

Experience:

  • Experience providing administrative and logistical support in coordination with other stakeholders and liaison with government Authorities and community leaders.
  • Experience supporting project implementation, including assistance with monitoring,  reporting, or data collection in field settings.
  • Familiarity with peacebuilding and reconciliation activities is an advantage.
  • Experience working in field offices or in areas affected by conflict or instability is desirable.
  • Exposure to participatory approaches and basic knowledge of do-no harm principles is an asset

Skills:

  • Ability to work independently and as part of a team in support of project and administrative activities.
  • Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint; experience with Publisher or SharePoint is an advantage.
  • Previous work experience with international organizations and companies would be an advantage.
  • Accuracy and attention to detail in documentation and data entry.
  • Good organizational and time management skills; ability to prioritize tasks under pressure.
  • Familiarity with peacebuilding and reconciliation programming is desirable.
  • Knowledge of the UN system and IOM procedures is an advantage

Languages:

  • Fluency in English (oral and written), Native language of Northwest Nigeria (Hausa and Fulfulde are required
  • IOM’s official languages are English, French and Spanish.
  • Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
