Job Summary
- We are searching for a perceptive and creative Head of Administration to oversee office operations and administrative staff members.
- He / She will be responsible for the strategic oversight of our Administration department by developing, reviewing and improving administrative systems, policies, and procedures to ensure all office locations operate smoothly and efficiently.
Responsibilities
- Manage overall administrative activities/operations of the department.
- Supervise the day-to-day facilities operations including supervising the maintenance and alteration of office areas and equipment across all office locations
- Develop and implement administrative functions and ensure a smooth flow of information within the company to facilitate business operations.
- Ensure the office is stocked with necessary supplies and that all equipment is working and properly maintained across all office locations.
- Develop, implement and maintain company/departmental policies, procedures and quality / service standards.
- Develop logistics in organizing records including inventory, personnel, orders, supplies, and maintenance documentation in an effective manner.
- Negotiate the purchase of assets including but not limited to motor vehicles, furniture, office equipment and consumables across all office locations in accordance with the company’s purchasing policies and budgetary restrictions.
- Provide support to the finance department and management teams in preparation of budget, manage cost and expenses and monitor spending.
- Oversight function of a comprehensive Asset Register, with details of asset’s useful economic life, maintenance schedule and replacement requirements.
- Oversee and participate in a wide range of company projects, events and track progress towards company goals.
- Oversight of the management of third-party contractors, vendors and service providers through development and negotiation of vendor contracts and agreements with detailed terms of engagement and fees.
- Interact with other department heads in managing the entire administrative operations and processes.
- Plan, schedule, and promote office events, including but not limited to meetings, conferences and training sessions.
Education
- Bachelor’s Degree in Business Administration or a related field.
Work Experience:
- Minimum of 5 years’ experience in a similar role;
- Minimum of 3 years’ experience leading a team.
Technical Requirements:
- Proficiency in Microsoft Office tools
- Proficiency in Database Management
- Knowledge of Finance Management and Budgeting
