Job Description

Job Summary
- The Logistics and Admin Officer plays a critical role in ensuring seamless operational efficiency by managing logistics, travel, procurement, and administrative functions.
- This role requires a highly organized and proactive professional who can multitask, manage competing priorities, and work effectively in a fast-paced and dynamic environment.
- The ideal candidate is detail-oriented, solution-driven, and capable of handling logistics and administrative responsibilities with precision and efficiency.
Key Responsibilities
Administrative & Office Management:
- Oversee local and international travel arrangements for staff, ensuring efficiency and cost-effectiveness.
- Coordinate transport logistics, material distribution, and general operational support.
- Assist in hiring and managing consulting firms/individuals, overseeing contract agreements and deliverables.
- Monitor and evaluate contractor/consultant performance, ensuring compliance with agreed terms and timely processing of payments.
- Support security management of office facilities and project assets, including oversight of security operations.
- Perform other administrative and operational duties as required by management.
Logistics & Travel Management:
- Lead the organization’s logistics operations, ensuring seamless coordination across functions.
- Manage service agreements with travel agents, logistics providers, and vendors to optimize service quality and cost-effectiveness.
- Ensure efficient and cost-effective travel arrangements for domestic and international trips, securing the most competitive fares.
- Oversee flight bookings, transport coordination, and travel compliance for employees and stakeholders.
Documentation & Reporting:
- Maintain shared electronic and manual records, ensuring accessibility to key logistics and administrative information.
- Oversee and update the fixed asset register, ensuring proper documentation and tracking of organizational assets.
- Manage inventory documentation, overseeing equipment movement and maintaining accurate records.
- Monitor procurement and logistics costs in collaboration with the finance team to ensure expenditures remain within budget.
- Prepare and submit procurement, administrative, and logistics reports to management as required.
Requirements & Qualifications
- Bachelor’s Degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- 2 – 3 years experience in logistics, administration, or operations management, preferably in an NGO or project-based environment.
- Strong ability to handle multiple tasks, prioritize effectively, and thrive in a fast-paced work setting.
- Excellent organizational, coordination, and problem-solving skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills, with the ability to engage effectively with vendors, service providers, and internal teams.
- Experience in managing logistics for multiple projects or large-scale events.
- Familiarity with donor-funded projects and reporting requirements is an advantage.
- Strong negotiation and vendor management skills.
- Ability to work in a dynamic, multicultural, and collaborative environment.
Salary
- N350,000 – N400,000 monthly.
