Role Summary
- The Office Administrator is responsible for overseeing various administrative tasks, ensuring the smooth day-to-day operation of the office, and providing support to the team. This role requires a detail-oriented and organized individual with exceptional communication skills who can handle multiple responsibilities concurrently. The Office Administrator serves as the central point of contact for internal staff and external stakeholders, contributing significantly to overall office effectiveness and productivity.
Roles & Responsibilities
- Provide administrative support to management and staff, including preparing reports, drafting correspondence, and scheduling meetings.
- Maintain a clean, organized, and well-maintained office environment, coordinating repairs and maintenance as needed.
- Manage accurate and up-to-date records, both electronic and physical, and implement proper filing and archiving systems.
- Arrange travel arrangements and accommodations for staff when required.
- Assist in organizing company events, meetings, and conferences.
- Oversee the procurement of office supplies and equipment, ensuring cost-effectiveness and quality.
- Monitor office-related expenses and adherence to budget guidelines.
- Greet and assist visitors, answer phone calls, and handle incoming/outgoing mail and packages.
- Serve as a liaison between management, staff, clients, and vendors to facilitate effective communication.
- Ensure compliance with health and safety regulations and implement measures for a safe working environment.
- Generate requisitions for the department.
- Coordinate daily office activities, including meeting scheduling, calendar management, and workflow coordination.
- Manage incoming and outgoing communications, such as emails, letters, and faxes, ensuring timely responses or forwarding to the appropriate personnel.
- File Management: Organize and maintain physical and digital files for easy retrieval and proper storage.
Qualification(s)
- HND or BSc in a related discipline.
- Professional qualification in HR will be an advantage.
- Experience & Training
- 2-5 years of experience in a specialized area, such as administration or logistics.
- Experience using ERP tools like Oracle, HCM, SAP, etc.
- Proficiency in report writing and planning.
- Expert user of MS Suite packages.
Job Conditions:
- The office is located in Victoria Island, Lagos.
- May be required to work extended hours or weekends as needed.
Salary
- N150,000 monthly.
