Title: Parts Administrator

Location: Lagos

Summary of Responsibilities:

  • In this role, you will be responsible for overseeing parts administration to fulfill customer orders across all Branches. Additionally, you will maintain and monitor stock levels, review protective parts, manage stock replenishment, customer orders, and coordinate Reman Parts activities.

Main Functions:

  • Generate and review Suggested Stock Orders for stock replenishment.
  • Review Purchase Orders in consultation with the Inventory Control Team & PI&OF Manager, considering ordering policy and prevailing circumstances.
  • Receive and review Order Acknowledgements from suppliers (e.g., Unatrac), respond to suppliers, and provide order status information to customers.
  • Analyze emergency purchases and identify corrective actions to reduce controllable backorders.
  • Handle ATS requests and all communications with the Parts Technical and Group Parts Operations offices.
  • Follow up with Product Support branch management on work orders, ensuring timely completion.
  • Manage allocated parts and ensure their delivery to the correct customers. Handle backorder orders through parts availability (e.g., PA51/PA52).
  • Communicate with the order fulfillment team to update customers on the status of their backordered parts.
  • Monitor completed workshop and counter/customer orders.
  • Manage parts for credit returns (customer/workshop).
  • Create local purchase orders for parts and monitor delivery by the agreed supplier.
  • Create shipments for locally supplied parts.
  • Assist in assembling parts kits, such as Preventive Maintenance kits and gasket kits.
  • Handle customer and workshop Reman worn core refund processes.
  • Coordinate worn core shipments to CAT with the warehouse.
  • Manage outstanding worn core with workshops and counters to prevent attrition.
  • Handle all inquiries related to Worn Core & Reman with Reman Help Desk.
  • Follow up with Reman Help Desk and finance to ensure Core credits are received and updated.
  • Generate and distribute reports related to Reman and worn core activities.

Job Requirements:

  • Bachelor’s Degree or its equivalent in Engineering or Business Management discipline.
  • Minimum of 3 years’ experience in a related role.
  • Proficiency in Microsoft Office Excel, PowerPoint, and MANPRO software (an added advantage).
