Job Title: Personal Assistant

Job Summary

  • We are looking for a highly organized, proactive, and detail-oriented Personal Assistant to provide comprehensive executive support to the CEO.
  • This individual will play a critical role in ensuring the CEO’s time is effectively managed, strategic priorities are tracked, and communications are handled with clarity and discretion.
  • The ideal candidate must be resourceful, tech-savvy, and capable of managing competing demands in a fast-paced environment while maintaining a high level of professionalism and confidentiality.
  • As a Personal Assistant, you’ll play a key role in ensuring the smooth operation of the Chief Executive Officer’s office.

Responsibilities

  • Manage the CEO’s schedule, including appointments, meetings, travel arrangements, and events across multiple time zones.
  • Coordinate internal and external meetings, ensuring all logistics, materials, and follow-ups are handled efficiently.
  • Screen and prioritize communications, including emails, calls, and meeting requests, ensuring timely and appropriate responses.
  • Serve as the first point of contact between the CEO and internal teams, external stakeholders, and partners, maintaining professionalism in all interactions.
  • Prepare and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
  • Track and follow up on projects, tasks, and strategic initiatives to ensure deadlines and goals are met.
  • Handle confidential information with the utmost discretion and integrity.
  • Maintain organized systems for document management, contact databases, and executive records.
  • Support the CEO with personal tasks and errands when necessary to ensure overall efficiency.
  • Liaise with departments across the organization to ensure information flows smoothly and operational support is provided when needed.
  • Monitor budgets, prepare expense reports, and manage procurement needs related to the CEO’s office.
  • Conduct research and provide briefing materials, summaries, and reports as required.
  • Identify inefficiencies in administrative processes and implement improvements.
  • Represent the CEO in meetings and engagements when required, taking notes and providing timely updates.
  • Undertake any additional responsibilities as delegated by the CEO.

Key Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field. Professional certifications are a plus.
  • Minimum of 3–5 years of experience supporting C-level executives in a Personal Assistant or Executive Assistant capacity.
  • Preferably Male
  • Exceptional organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proactive, self-motivated, and capable of working independently.
  • Strong problem-solving abilities and a high degree of initiative.
  • Absolute discretion and professionalism in handling confidential matters.
  • Strong interpersonal skills and ability to interact with people at all levels with confidence and tact.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with modern productivity tools.
  • Ability to adapt quickly to changing priorities and a fast-paced work environment.
  • High level of emotional intelligence and a calm, solution-oriented mindset.
