Job Summary

  • The Program Administrator reports to the Program Manager and, indirectly, to the Finance and Operations Manager at TechnoServe Nigeria. This role is dynamic and adaptable, playing a crucial part in ensuring the efficient and compliant implementation of project activities and the effective use of resources for maximum impact.

Program Overview

  • The project’s goal is to address unemployment in Nigeria through four pathways: self-employment, accelerating the growth of micro and small businesses, enhancing job readiness, and fostering ecosystem development. With a robust learning agenda, the project will test methodologies that drive behavioral change and successfully connect women and youth to relevant and sustainable employment opportunities. To achieve its objectives, the project will leverage existing infrastructure, institutions, and organizations where possible. It will also incorporate lessons learned from other entrepreneurial ecosystem support initiatives by adopting proven approaches. The project’s design follows a set of common principles, such as being market-driven to enable entrepreneurs to access high-growth sectors, develop youth skills, and establish connections for targeted youth job placements.

Primary Functions & Responsibilities

Administration, Logistics, and Office Management:

  • Handle procurement responsibilities, ensuring the procurement of goods and services complies with TechnoServe and FCDO policies and regulations. Provide guidance to the project team on procurement matters.
  • Manage the project team’s logistics requirements, ensuring effective logistical arrangements are in place to support project implementation, including fleet and resource management.
  • Coordinate project events and meetings, ensuring proper planning, management, and execution of events such as training, workshops, conferences, and meetings.
  • Ensure adherence of project activities and staff to country safety and security plans.
  • Perform administrative tasks to ensure compliance with local legal and statutory requirements.
  • Manage document filing and develop office administrative procedures as needed.
  • Coordinate meetings with the project team, consultants, and country office staff.
  • Maintain all documents for auditing purposes.
  • Prepare accounts payable documents (e.g., invoices, payment requests) for approval.
  • Arrange meeting rooms, draft and distribute meeting agendas, prepare briefing notes, and, when necessary, take meeting minutes, including preparing and distributing materials as directed.
  • Perform any other related duties that may arise from time to time.

Basic Qualifications

  • Bachelor’s Degree in Business Administration, Logistics, Economics, or a related field.
  • 1 year of professional experience in roles related to procurement, logistics, and general office administration.
  • Advanced-level knowledge of Microsoft Excel and basic functional knowledge of field accounting software packages.

Preferred Qualifications

  • Experience with donor-funded projects.
  • Demonstrated ability to manage and prioritize multiple tasks with competing deadlines.
  • Experience in coordinating junior-level service-oriented staff and building strong working relationships.

Required Languages

  • Proficiency in written and spoken English.

Travel

  • Minimal.
