We are recruiting to fill the position below:

Job Title: Project Coordinator

Location: Maiduguri, Borno
Employment Type: Full-time
Reporting to: Deputy Country Director Programmes
Proposed start date: May 2025

Summary

  • We are currently looking to fill the role of Project Coordinator, who will be responsible for proper implementation and completion of ECHO and SIDA across the mission throughout its different phases as well as the appropriate management of its specific scope, schedule, resources, quality, risks, representation, reporting and coordination.
  • The incumbent is further expected to coordinate all program managers under her/his leadership on program reporting’s, coordinate with other partners in the locations of intervention.
  • Also the incumbent is responsible for the context evolution monitoring and reporting to help the different projects adopt to the evolving context.

Key Responsibilities

  • Finalize and manage the update and implementation of the detailed Project Implementation Plan (PIP);
  • Develop detailed monthly/weekly implementation plans for your staff in order to achieve the activities in the DIP;
  • Finalize and manage the Project Scope Documents (PSDs) such as Project Procurement plan, Monitoring and evaluation plan, Budget Follow Update, Work Breakdown Structure, etc. as well as ensuring regular update of these documents in order to maintain a strong record of the Project;
  • Develop and maintains records of the project both in hard and soft formats and ensure data safe guarding as per ACF protocols;
  • To do regular coordination with FCOS and HODs to unlock any bottle necks in the processes i.e. procurements, recruitments or cash deliveries;
  • Initiate and oversee evolving needs and technical assessments and analysis with in the scope of the project, prepare briefs and suggest actions,  as well as preparing the follow up reports in coordination with the M&E Co, HoDs and DCDs;
  • Pro-actively comment on the data generated, reports and seek continuous improvements;
  • Intiate essential learning exercise with HoD both during the life of the program to facilitate appropriate adaptation of the projects to the evolving challenges and context;
  • Stay abreast of, and manage field operations as to, the prevailing security, cultural and social situation as per the guidance of the field coordinator;
  • Identify and monitor risks, constraints or escalating issues and inform senior management accordingly;
  • Regular field visits to monitor the activities and their quality in compliance with proposals and in liaison with M&E department;
  • With the support of the relevant technical coordinators, develop, document and work as per designs, BoQs, tools, implementation modalities and guidelines;
  • Ensure contractual activities are completed on time, within budget and with acceptable quality;
  • Ensure respect to donor rules, national and international standards within the project under his/her supervisions;
  • Ensure that all project staff are provided with a full induction and are briefed on all relevant components of the project;
  • Ensure that staff and partners are aware of any changes in the project and in the wider organization through regular team meetings;
  • Ensure staff are aware of Do No Harm and operating by humanitarian principles and other codes of conduct;
  • In collaboration with PMs Identify need based trainings and work with HR team to develop, plan and implement relevant training plans for each team member;
  • In collaboration with PMs, facilitate cross program learning through joint review and planning with other departments;
  • Define objectives, update staff job descriptions and facilitate regular performance appraisals the supervisee’s;
  • Ensure the provision of updated records and reviews for team personnel reviews and records;
  • Manage conflict resolution and motivation exercises with the project team in a proactive manner;
  • Encourage compliance with the Charter and the fight against fraud, corruption and abuse of power; SEA, alert the Field Coordinator and / or Country Director in the event of fraud, corruption or abuse of power;
  • Motivate, coordinate and supervise teams, providing continuous organizational support to staff and conducting regular field visits;
  • Monitor and report in a proactive manner any areas of geographic or sectoral growth for the organization;
  • Contribute to overall project design, activity implementation guidelines, training development, and documentation;
  • Develop systematic mechanism for lesson learned about the programs to provide information to conduct advocacy activities, with periodic field visits to other projects to strengthen across mission information and best practice sharing; and encourage the development of innovative approach;
  • Initial and produce regular success stories on project implementation;
  • Highlight areas of improvement within the PIPs and PSDs;
  • Support wider learning by leading on project based learning and research; Support development of Project proposals, concepts and improvements;
  • Represent ACF in external meetings as requested;
  • Support DHODs/HODs in sharing evidence of program impact and needs on the ground i.e. food price monitoring, prevalence of SAM/MAM, Water borne diseases etc;
  • Prepare and share minutes and clear action points of meetings/trainings attended;
  • Coordinate with relevant UN agencies, government authorities and any other stakeholders to ensure support for the Project and the wider organization;
  • Support Field Coordinator in liaising regularly with authorities and community representatives in relations to ACF programming and positioning;
  • Represent ACF programs when and if necessary vis-a-vis donors during their field visits and other meetings;
  • Promote and defend humanitarian and ACF principles;
  • Develop an information (formal/informal) network;
  • Ensure development of a data collection and entry plan complete with tools and timeline that is integrated in line with the mission M&E structure and strategy.;
  • Maintain, document and handover all project records in an organized and complete manner to enable audit of the project;
  • Ensure quality production of respective reports i.e. monthly and quarterly internal and external reports as requested – Monthly QAPR, APR;
  • Track the progress of activities and outcomes as well as ensuring the tracking of relevant indicators;
  • Participate in the weekly coordination meetings, or other ad hoc internal meetings as requested;
  • Prepare handover/end of mission reports to cover periods of leave and/or upon exit from the project;
  • Participate in the local partner selections process;
  • Responsible to support the local partner on program launching and activity planning;
  • Response for quality control of program activities being implemented by the local partner;
  • Ensure that partner budget is availed on time and close monitoring of their expenses;
  • Ensure that partners are able to establish a functional FCM in their areas of operation. Update the FCM tracker on monthly basis and report to SMT;
  • Ensure regular meetings (monthly) with partner for program updates, context follow up and unlocking of barriers.

Position Requirements

  • Proven multisector project cycle management experience at a senior level for at least 4 years in an INGO;
  • Excellent management, organizational, motivational and leadership skills;
  • Demonstrated experience in financial management and preparation of budgets for programming;
  • Familiarity with ECHO, EU, SIDA  reporting and regulations;
  • Experience in managing medium to large-sized teams;
  • Excellent written and spoken English;
  • Creative and innovative;
  • Problem management capacity;
  • Experience in working with local implementing partnership;
  • Ability to work under pressure;
  • Disciplined and able to work and arrive at decisions autonomously and with minimal guidance;
  • Good knowledge of the humanitarian architecture and transformative agenda.
