Job Title: Receptionist

Location: Lagos

Job Summary

  • We are seeking a friendly and organized Receptionist to join our team. The Receptionist will be the first point of contact for visitors and callers, playing a key role in creating a positive and welcoming environment.
  • The role is responsible for managing front desk operations, handling inquiries, and providing administrative support.

Key Responsibilities

  • Guest Services and Communication: Greet visitors and callers with a friendly and professional demeanor, determine the purpose of their visit, and direct them to the appropriate personnel or department. Answer and screen incoming calls, take messages, and provide accurate information.
  • Front Desk Management: Maintain a tidy and organized reception area. Manage visitor logs, issue visitor badges, and ensure security protocols are followed.
  • Administrative Support: Provide general administrative and clerical support, including photocopying, faxing, and filing. Sort and distribute incoming mail and deliveries.
  • Appointment Scheduling: Schedule and coordinate appointments for staff and meeting rooms.
  • Record Keeping: Maintain accurate records of visitor logs, phone messages, and other relevant information.
  • Collaboration: Work closely with other staff members to ensure smooth office operations and provide support as needed.
  • Office Equipment and Supplies: Ensure the proper functioning of office equipment (e.g., phone systems, printers) and coordinate maintenance when necessary. Monitor and order office supplies as needed.

Requirements

  • Qualification: Minimum of a Bachelor’s Degree in an Administrative field or related discipline; additional certification in Office Administration or related field is a plus.
  • Experience: 1-2 years of experience in a receptionist or customer service role, with experience in managing phone systems, greeting visitors, and providing administrative support.

Skills:

  • Proficiency in using phone systems and other office equipment.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong interpersonal and customer service skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
