Job Title: Senior Executive Assistant

Job Summary
- The role holder will support 3 – 4 C-level executives across U.S. time zones, handling a range of complex administrative tasks.
- The role holder will be a critical partner to leadership, ensuring calendars, travel, expenses, events, and special projects run smoothly.
Key Roles and Responsibilities
Manage Calendars & Schedules:
- Coordinate and prioritize multiple executives’ calendars, schedule internal/external meetings, and ensure no detail slips through the cracks.
Travel & Event Coordination:
- Book flights, create detailed itineraries, organize team off-sites or events, and handle last-minute changes with poise and efficiency.
Expense Reporting & Light Project Management:
- Track receipts, manage expense submissions, and assist with small-scale project tasks (follow-ups, status checks, and deliverable coordination).
Executive Communications:
- Draft emails, memos, or briefs for leadership with clear, concise language that reflects each executive’s voice and objectives.
Confidential Task Handling:
- Exercise discretion when dealing with sensitive information or high-stakes decisions, ensuring trust and privacy at all times.
Process Improvement:
- Identify and implement ways to optimize administrative processes, from streamlined scheduling to improved reporting.
Qualifications and Competence
- Minimum of 5 years of Executive Assistant experience supporting C-level (or VP-level) leaders, ideally in fast-paced environments (tech or multinational firms).
- Excellent spoken and written English with strong cross-cultural communication skills.
- Proactive, detail-oriented approach—you anticipate needs, solve problems early, and never let tasks fall through the cracks.
- Adaptability to U.S. time zones (Eastern / Central / Pacific) and willingness to adjust schedules as needed for urgent requests.
- Reliable high-speed internet and ability to thrive in a remote-work setup using collaboration tools (e.g., Slack, Google Workspace, Asana).
- Comfortable with U.S. business etiquette—capable of interfacing with senior leaders, clients, and stakeholders in a professional manner.
- Proficient in a range of productivity, communication and collaboration tools but not limited to Notion/Trello, Google /Outlook Calendar, Zoom, Teams, Google workspace, and AI tools.
Work Schedule:
- 40 hours a week
- Monday – Friday (9am- 6pm Eastern US Time) with some light weekend work as needed.
