  • A rare opportunity has arisen in Asset Management for a progressive and driven individual with a desire to make a difference.The Senior Facilities Manager is responsible for delivery and development of a range of hard and soft FM services across the portfolio, ensuring premises are safe and compliant, whilst creating an attractive environment that support tenant businesses to thrive.
  • The post holder will put in place and oversee planned preventative maintenance and reactive works that reflect both operational and strategic plans for the premises. They will work with the supply chain to agree solutions, and undertake regular audits to ensure standards and value for money are maintained. Activities involve collaborating with stakeholders, suppliers, and customers to prioritise and execute programmes of work, drawing up scopes and managing small projects and associated budgets, ensuring delivery of services on time.
  • The Senior Facilities Manager will work alongside the Data team to update asset information, ensuring data is accurately maintained in the CAFM system.The post holder will also support the FM Helpdesk as required advising and triaging reactive tasks as appropriate, ensuring works are properly scoped prior to being commissioned.
  • You will work in a collaborative and solution focused environment, to deliver a good quality end-to-end service that removes risk and builds capabilities in the right place.
  • The position sits within the Facilities Management team and reports into the Senior Property Operations Manager.

The Portfolio

  • The commercial portfolio comprises of circa 3500 units and over 2600 agreements generating an income of £90m per annum.The portfolio is mixed use comprising arches, retail units, offices, industrial, residential, land and other miscellaneous buildings and uses.The organisation is investing off the back of strategic plans that will lead to significant improvements to the portfolio, to create better environments for customers and support income growth. The Senior Building Surveyor will play an important role in ensuring property assets are well maintained, creating opportunities to reduce carbon emissions, whilst upholding capital and rental values and therefore contributes towards the strategic goals.

Key Accountabilities

  • Eliminate and mitigate risks to health and safety through completion of property risk assessments, and regular inspection and appropriate interventions, resolving issues.
  • Identify and manage reactive repairs, developing and agreeing scopes of work with the supply chain, aligned to the ESG strategy, ensuring best value and within delegated budgets and to deadlines.
  • Define and scope cyclical works regime for hard and soft services, including statutory compliance, working with the supply chain to agree the scope and working with the Commercial team to complete Compensation Events and contract Variations.
  • Manage effective and productive relationships with business partners, contractors and suppliers to assure service delivery standards and value for money.
  • Maintain data within the CAFM system, ensuring assets are accurately captured, record of condition is maintained, and records are in order.
  • Work with Property and Asset Managers to develop a Service Charge or Service Cost as appropriate for incorporation into commercial lease agreements and in line with strategies.
  • Set standards and use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvements in your area, conducting regular audits to maintain quality.
  • Supervise and lead subordinates ensuring they have targets and development plans and are working in line with corporate and service targets.
  • Respond appropriately to emergencies or urgent issues.
  • Implement and monitor sustainability practices and energy efficiency measures to meet targets and objectives.

Knowledge

  • Relevant Degree together with corporate membership of RICS or similar body.
  • NEBOSH in Safety Management.
  • Associated legal aspects, financial control and procurement processes.
  • Comprehensive awareness of the regulatory and statutory compliance framework as it relates to the built environment.

Skills

  • Self-starter with an ability to multi-task and prioritise workload, project manage works, whilst managing expectations and meeting SLAs.
  • Ability to think innovatively, practically and make decisions to resolve problems quickly.
  • Ability to communicate effectively at all levels, interpersonal and relationship building, including networking.
  • Financial acumen and ability to manage budgets and control costs.
  • Ability to lead and motivate team to achieve goals and objectives.
  • Ability to write clearly and concisely and handle long complex documents and write scopes of work.

Experience

  • Substantial experience and knowledge in building maintenance and facilities management best practice and trends.
  • Experience in the administration of a range of projects to objectively establish and achieve fundamental commercial and financial requirements and client aims.
  • Substantial experience of appointing external consultants, preparing the consultants brief and monitoring progress.
  • Experience, knowledge and understanding of commercial and residential estate management, including service charge.
  • Relevant proven experience in a multiple site environment including people management and with a business focus, customer driven approach is essential.
  • Skilled in using property management software and tools.
