Job Title: Admin Manager

Description

  • We are looking for an Admin Manager to ensure smooth and efficient operations across administrative, facility, and logistics functions. The role requires proactive planning, forecasting, and analysis to optimize resources, maintain inventory levels, and prevent disruptions to business operations.
  • This individual will work closely with all teams to support the company’s retail and manufacturing needs while ensuring cost-effectiveness and compliance.

Responsibilities

  • Develop and maintain systems for accurate forecasting of operational needs, including inventory, servicing schedules, and resource allocation.
  • Plan and implement preventive measures to avoid stockouts, equipment downtime, and logistical disruptions.
  • Ensure all facilities and retail spaces are well-maintained, fully operational, and compliant with safety and regulatory standards.
  • Manage leases, insurance, utilities, and service contracts, ensuring timely renewals and optimal performance.
  • Manage relationships with vendors and service providers, ensuring quality and adherence to agreed SLAs.
  • Lead the procurement process, ensuring timely delivery of supplies at optimal costs while maintaining reorder levels.
  • Oversee the company’s fleet operations, ensuring vehicles are properly maintained, insured, and dispatched efficiently.
  • Optimize transportation schedules for manufacturing and retail distribution to minimize costs and improve timeliness.
  • Use data analytics to monitor resource usage and operational efficiency, identifying areas for improvement.
  • Prepare regular performance and cost-efficiency reports for management review.
  • Lead and develop the administrative team, fostering a proactive and solution-oriented culture.
  • Ensure clear communication, accountability, and collaboration across departments.

Requirements

  • Education: Minimum of a bachelor’s degree in Business Administration, Operations Management, or a related field.
  • Experience: 3–5 years in administrative or operations management roles, preferably in retail or manufacturing.
  • Skills: Strategic planning, forecasting, vendor management, logistics coordination, inventory control, problem-solving, and proficiency in MS Office tools.
  • Personal Attributes: Strong organizational skills, attention to detail, proactive mindset, and the ability to work under pressure.
