Title: Executive Assistant

Location: Asokooro, Abuja (FCT)

Employment Type: Full-time

Job Brief:

  • We are seeking an Executive Assistant to undertake a diverse range of administrative tasks and provide support to our senior-level managers. The Executive Assistant will be responsible for managing calendars, coordinating travel arrangements, and preparing expense reports. To excel in this role, you should possess strong organizational skills, effective time management abilities, and the capacity to work independently. Ultimately, your contributions will enhance the efficiency of our business by offering personalized and timely support to our executive team.

Responsibilities:

  • Serve as the primary point of contact for executives, employees, clients, and external partners.
  • Manage the flow of information promptly and accurately.
  • Organize executives’ calendars and arrange meetings.
  • Handle travel and accommodation reservations.
  • Track daily expenses and generate weekly, monthly, or quarterly reports.
  • Supervise the performance of other clerical staff.
  • Oversee office supply inventory as an office manager.
  • Format information for internal and external communications, including memos, emails, presentations, and reports.
  • Record meeting minutes.
  • Screen phone calls, direct inquiries, and manage correspondence.
  • Establish and maintain the office filing system.

Requirements and Skills:

  • Bachelor’s Degree (B.Sc) or Higher National Diploma (HND).
  • A Personal Assistant (PA) Diploma or Certification is a plus.
  • Prior work experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Excellent knowledge of MS Office applications.
  • Exceptional organizational and time management skills.
  • Familiarity with office equipment and software, including e-calendars and copy machines.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive information with discretion and confidentiality.
