Job Description
- The Executive Assistant to the CEO will provide high-level administrative support, ensuring efficient operation and communication within the executive office.
- This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
- The Executive Assistant will manage schedules, coordinate meetings, facilitate communication between the CEO and internal/external stakeholders, and support various strategic initiatives.
Responsibilities
- Manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring efficient time management.
- Prepare and organize meeting agendas, materials, and minutes.
- Handle complex travel arrangements, including booking flights, accommodations, and transportation.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Draft, review, and send communications on behalf of the CEO.
- Screen and prioritize emails, phone calls, and correspondence to ensure timely responses.
- Assist in the planning and execution of special projects and strategic initiatives.
- Track progress on various projects, ensuring deadlines are met and stakeholders are updated.
- Conduct research and provide reports to support the CEO’s decision-making process.
- Maintain confidential files and records.
- Organize and manage documents, reports, and presentations.
- Ensure the CEO has all necessary materials for meetings and presentations.
- Plan and coordinate company events, executive meetings, and conferences.
- Handle logistics, including venue selection, catering, and technical arrangements.
- Build and maintain relationships with key stakeholders, including board members, investors, and partners.
- Facilitate communication and coordination between the CEO and other executives, departments, and external parties.
- Assist with personal tasks to support the CEO’s work-life balance.
- Perform additional administrative duties as assigned by the CEO.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field.
- 3-5 years of experience as an executive assistant, administrative assistant, or in a similar role, preferably supporting senior executives.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle confidential information with integrity and discretion.
- Strong problem-solving abilities and attention to detail.
- Ability to work independently and manage multiple tasks simultaneously.
- Professional demeanor and strong interpersonal skills.
- Project management experience is a plus.
