Job Title: Executive Secretary

Location: Jabi, Abuja (FCT)

Employment Type: Full-time

Role Overview

  • The Executive Secretary will provide comprehensive administrative and organizational support tothe Executive Leadership Team/CEO to ensure efficient daily operations and the smooth execution of strategic initiatives.
  • The ideal candidate will be highly organized, professional, and adept at managing schedules, handling confidential information, and supporting executive-level decision-making.

Key Responsibilities

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and events.
  • Organize and prepare briefing materials for meetings and presentations.
  • Handle correspondence, including emails, letters, and memos, with professionalism and discretion.
  • Coordinate travel arrangements, itineraries, and agendas for business trips and events.
  • Act as the main point of contact for internal and external communications on behalf of the executive.
  • Monitor and follow up on action items, ensuring deadlines are met and commitments are fulfilled.
  • Prepare meeting minutes and ensure follow-through on agreed tasks.
  • Liaise with stakeholders, clients, and partners to build and maintain professional relationships.
  • Maintain and organize confidential documents and information in line with company policies.
  • Assist with the planning and execution of special projects and administrative tasks as assigned.

Qualifications & Experience

  • Proven experience as an Executive Secretary, Personal Assistant, or similar administrative support role.
  • Exceptional organizational and time management skills, with attention to detail.
  • Strong communication and interpersonal abilities, both written and verbal.
  • Proficient in [insert tools or software, e.g., Microsoft Office Suite, Google Workspace, scheduling tools, CRM systems, etc.].
  • Ability to work under pressure, manage multiple priorities, and maintain professionalism in a fast-paced environment.
  • Discretion and sound judgment when handling confidential information.
