Job Title: HR Shared Services Specialist

Job Description

  • Fully responsible and accountable for the overall delivery of high quality and consistent HR Services to employees across all departments throughout the employee lifecycle

Job Responsibilities
HR Reporting:

  • Prepare standardized monthly, quarterly and annual workforce reports for the region
  • Responsible for HR analytics and HR dashboard management including HR BPMS; produce monthly & quarterly reports on FTEs & HR KPI’s

HR Processes:

  • Administers all HR processes related to the employee life cycle (e.g. promotion, transfer, exits, etc.) whilst being custodian of HR policies
  • Coordinate the audit of all HR processes in the region

Learning Delivery:

  • Manage the logistics of a live learning program including establishing the course listing(s), preparing the LMS, and managing registration. Also manage on-site logistics such as securing a venue and planning deployment
  • Manage materials, facility, classroom set-up, registration, participant inquiries, and participamts attendance
  • Solicit feedback from participants and instructors regarding learning programs executed and process post-training evaluation electronically.
  • Consolidate, distribute, and analyze learning program feedback and results which will feed into the overall learning strategy

Employee Wellness:

  • Liaise with the onsite clinic health officers to ensure high quality and cost-effective service is rendered to all employees
  • Review sickness report from the clinic on a monthly basis and provide insights to key stakeholders
  • Implement wellness programs across the region as planned in order to create awareness on mental and physical health

Change Management:

  • Support the implementation of change management programmes and activities across the region

Employee Data Management:

  • Act as the first point of contact for all HR documents and provide necessary data as may be required for  decision-making, regulatory bodies, court cases, union negotiations, etc.
  • Ensure compliance, controls and governance of employee personal data
  • Maintain accurate job data on the HRIS platform
  • Keep custody of HR policies, processes (process maps) and other legal documents
  • Provide necessary documentation to legal department, regulatory bodies, etc. as may be requested

Agency/Vendor management:

  • Manage monthly agency/outsourced headcount and costs in line with budget limits
  • Provide necessary data as may be required from time to time on agency and outsourced headcount
  • Keep proper records of necessary agency data and costs

Employee Benefits Administration

  • Ensure seamless administration of employee benefits -fuel, health, phone, communication (phone credit)
  • Manage relationships with government regulators (eg. National Social Insurance Trust Fund, Labour Inspectorate, etc)

Absence Management:

  • Maintain an accurate record of all forms of employees’ absences (annual leave, casual leave, compassionate leave, etc.) throughout the year and provide necessary report on a regular basis

Time & Attendance

  • Manage employee attencance records.
  • Review overtime hours, shift allowance, etc as per policy and provide the reviewed data to the payroll specialist for payment processing

Requirements
What we ask:

  • 4 years’ experience in HR administration
  • Good technical knowledge of HR Systems
  • Ability to train HR Business Partners and Key Customers on HR Information and Systems processes
  • Logical, analytical mind to analyze information and work according to standards and guidelines
  • Highly skilled in Excel, Powerpoint
  • Understanding of country HR information and how it is used.
  • Able to help resolve information problems and queries or know where to refer problem.
  • Understands how the local business operates
  • Knowledge of internal processes and policies implementation experience
  • Strong vendor management
