About the Job 

  • The Personal Assistant to the Plant Manager provides support to the Plant Manager by performing administrative, secretarial, analytical, and some research duties.
  • He/she will also support the Plant Manger by effectively and confidentially managing their schedule. In this role, organizational and people skills are vital.
  • The role holder will work closely with external stakeholders and other colleagues from multiple departments/functions to ensure cross-organizational coherence and effectiveness.

What you’ll be doing 

  • Act as a first point of contact and dealing with correspondence and phone calls
  • Provide confidential administrative support to the Plant Manager including a daily diary management, organizing meetings, producing any associated materials, and creating presentations, making travel and venue arrangements, and liaising with key internal and external contacts
  • Take notes and track actions arising from periodic Plant Management team and JCC committee meetings and other requests, as directed by the Plant Manager.
  • Work closing with O&HR and CPASD units to coordinate employee engagement events such as Monthly Plant Manager Town Hall meetings,
  • Office management including stationery & hospitality, liaison with the facilities management team
  • Track and monitor spending against the Plant Manager’s budget by performing reconciliation as required
  • Ensure a seamless and efficient processing of payments
  • Process all supplier and prompt payments for the function as required
  • Follow-up with the purchasing department to ensure the PO process is speedily executed
  • Follow-up with the Finance department to ensure payments have been made to suppliers
  • Process all incoming and outgoing emails, file and retrieve corporate documents and reports as well as handling inquiries and requests as appropriate

Key interfaces, stakeholders and relationships:

  • The job holder will interact regularly with all cadres of staff, including members of the executive committee and Plant Management Team
  • He/she also interacts regularly with the external public including suppliers and other external stakeholders.

What we are looking for

  • Minimum of 3 years office administration and coordination experience
  • Experience in similar role in similar organization may be an advantage
  • Excellent written and oral communication skills
  • Strong computer skills especially Microsoft applications:
    • Excel, Word, PowerPoint and email applications.
  • Knowledge of calendar/planning/scheduling tools
  • Familiarity with ERP platforms
  • Ability to prioritize with excellent time management skills
  • Good attention to detail
  • Able to respect/manage confidential information
  • Analytical skills.
