Title: Executive Assistant

Location: Lekki, Lagos

Employment Type: Full-time

Key Responsibilities

  • Assist Executive daily: schedule meetings, organize projects, provide administrative support to the organization’s executive team. Ensure the Executive Director is prepared for all meetings and logistics are arranged to optimize time.
  • Calendar management.
  • Perform administrative duties and functions requiring confidentiality, initiative, and sound decision-making.
  • Coordinate travel arrangements for the Executive and process expense reports.
  • Prepare agendas, make copies, set up room, coordinate with speakers, take and type notes, order/pick up/layout refreshments, etc.
  • Maintain confidentiality of all appropriate communications and documentation.
  • Undertakes special assignments/projects on a wide variety of issues as requested by the Executive. Handles additional duties as assigned by Executive
  • Greet visitors, answer general questions and direct individuals to appropriate personnel
  • Maintain registration log for visitor
  • Answer, screen and direct incoming calls for the Executive
  • Provide administrative assistance for the Executive to include filing, scanning, drafting letters, data entry and other miscellaneous duties
  • Assist with preparing and processing reports
  • Establish hard copy and electronic files as required
  • Assist in setting up for meetings (make coffee, set up chairs, assist administratively in preparation of meeting materials, e.g., copy, collate, scan)
  • Support special events for decorations, celebrations, awards ceremonies, and business meetings
  • Purchase supplies
  • Receive and sort incoming/outgoing mail/deliveries
  • Will be required to run occasional errands to local stores/suppliers, etc.
  • Proficient and adept at problem solving complex issues, bringing clarity and cohesiveness to key stakeholders.
  • Highly developed time management, organizational and prioritization skills with the ability to multi task with clarity; facilitating several projects at the same time with the ability to monitor and assess one’s owns self.
  • Excellent professional level communication and interpersonal and relationship building skills. Having the ability to listen and influence other people in written or verbal forms. Creatively presenting and disseminating information and concepts effectively.
  • Presents themselves in excellence in regard to appearance and conduct, projecting a professional image at all times.
  • Provide full spectrum of secretarial support to CFO on a day-to-day basis.
  • Handle confidential documents ensuring security.

Requirements

  • Possess at least a Diploma in Business Administration / Accounting / Finance related field.
  • 3-4 years of relevant experiences
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality.

Salary
N60,000 – N150,000 / month.
