Job Summary
- The Executive Assistant (EA) role will provide efficient, administrative and secretarial support to the Group Head Technical (GHTS).
- The role will also effectively manage the day-to-day administrative activities of the office.
- The role will provide complete and confidential services including office management, time management, administrative duties and first point of contact interface with callers. The role will require a large degree of initiative and discretion.
Responsibilities
Secretarial Services:
- Manage the GHTS’ dairy and itinerary
- Receive and manage correspondences of GHTS both internally and externally
- Keep, file and maintain accurate records of documents and correspondence in hard copy and electronically as appropriate including case filing
- Screen phone calls, enquiries and requests, and handle them when appropriate. Deal with incoming email, faxes and post, and correspondence as directed.
- Manage all records and books of GHTS’ personal and official transaction.
- Manage the GHTS’ travel arrangements and logistics including arranging travel reservations, accommodation, visas, agendas, necessary contacts, country information and other necessary preparations, in collaboration with other responsible officers
- Apply discretion in resolving administrative issues affecting the smooth running of the GHTS’ office
- Oversee administration of the GHTS’ office and ensure efficient operations
Office Management and Operations:
- Maintain comprehensive/accurate filing index/documents
- Manage office supplies including stationaries
- Attend to visitors and receive message as appropriate
- Type letters, memos and produce reports as requested
- Follow up with TS, ARs, RFS etc and ensure proper closure and filing
Office Systems and Services:
- Maintain records/files, replenishes stationery and arranges servicing of office equipment to ensure smooth functioning of the office with minimal disruptions.
Confidentiality Observance:
- Observe and apply strict levels of confidentiality and discretion in all matters related to work performance and in providing services for the administration of personal affairs. Manage office supplies including stationaries.
Follow Up on GHTS Request:
- Follow-up outstanding responses to requests from the Chairman/CEO to BUs/Departments, ensuring deadlines are adhered to.
Meeting Arrangements
- Make arrangements for meetings, including booking venue, ensuring all participants are aware of timing, adequate supplies of stationery are available and may attend meeting as minute secretary.
Requirements
- Interested candidates should possess a Bachelor’s Degree in relevant fields.
