Title: Executive Assistant to the Managing Director

Location: Obanikoro, Lagos

Job Summary

  • A reputable manufacturing company with proven track record of excellence for about three decades seeks to hire a proactive problem-solver and task-oriented professional as an Executive Assistant to the Managing Director.

Responsibilities
Administrative Support:

  • Manage the MD’s calendar, schedule meetings, and coordinate appointments.
  • Handle travel arrangements, including booking flights, hotels, and transportation in conjunction with the Protocol Officer.
  • Prepare and edit correspondence and presentations.
  • Organize files and documents, ensuring they are up-to-date and accessible.

Meeting Coordination:

  • Coordinate meetings, events and prepare meeting materials and presentations.
  • Record and distribute meeting minutes in the absence of Company Secretary.

Communication:

  • Act as a point of contact between the MD and internal/external stakeholders.

Project Management:

  • Assist in the planning and execution of projects, ensuring deadlines are met.
  • Coordinate with various departments to gather information on project status, track progress and provide regular reports to the MD.

Research and Analysis:

  • Conduct research on various topics as required by the MD.
  • Analyze data and prepare reports to support decision-making processes.

Budget Monitoring:

  • Oversee and ensure the expenses of the office of the MD remain within budget.

Confidentiality:

  • Handle information with the highest level of confidentiality and discretion.
  • Ensure the security of executive office records and communications.

Office Management:

  • Oversee the maintenance of office supplies and equipment.
  • Attend to guests of the MD, visitors and other stakeholders professionally.
  • Manage special projects and other duties as assigned by the MD.

Requirements

  • BA/BSc/HND
  • Minimum of 5 years of experience
  • Knowledge of office management systems and procedures.
  • Ability to handle high-pressure situations and work under tight deadlines.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • Time and Priority Management Skills.
  • Organizational skills
  • Attention to details.
  • Computer Literacy (Good usage of Microsoft Office Suite).
  • Excellent Communication Skills (Written & Verbal).
  • High degree of integrity is a MUST
