Job Title: Facility Manager

Location: Ikoyi, Lagos

Job Summary

  • As the Facilities Manager, you will be responsible for ensuring smooth day-to-day management & operation of the facility, external aesthetic/ambience of various spaces by overseeing maintenance tasks including plumbing, carpentry, electrical works, minor civil works, power generation/maintenance, painting, gardening, cooling systems, fire equipment, water treatment, effective utilization of space and other facilities management routines.

Qualifications

  • 1st Degree in facilities management or a related discipline.
  • Member of professional bodies. E.g. IFMA, IGFM, BIFM, etc.
  • Minimum of 5 years’ experience working in the same capacity in a structured organization.

Key Responsibilities
Facilities Management:

  • Support Management in development of the strategic direction for the facilities management function which aligns with the overall strategic goals of the company
  • Conduct regular assessment of facilities in all spaces to determine items that are due for replacement or repair and initiate appropriate action.
  • Manage support staff to ensure that the facility and its appurtenances meets corporate image level with respect to standard, cleanliness as well as safety of the equipment.
  • Program and prioritize maintenance activities to ensure achievement of specified objectives.
  • Ensure the management and maintenance of the facility and maintain a concise inventory of all assets.
  • Routinely monitor facilities to ensure that they remain functional, safe & secure, well-maintained and ensure all faults including electrical, carpentry, civil works and plumbing systems are swiftly & safely resolved.
  • Ensure that the facility and its premises including gardens, lawns and other public spaces are clean/orderly.
  • Ensure that the facility meets environmental, health and security standards and comply with government regulations.
  • Ensure proper handover of new facilities by technicians, vendors to Facilities Management Team is supported by appropriate documentation such as operation and maintenance documentation, manuals, drawings and wiring/cabling schedules, floor plans, furniture layout, etc.
  • Manage and/or oversee personnel, office and official residence relocations.
  • Any other duties as assigned or required by the company or the group.

Project Management:

  • Manage projects and other strategic initiatives with oversight, including project plans and budgeting, preparing project meeting agendas, identifying risk areas.
  • Prioritize and manage multiple projects simultaneously, follow-through and escalate in a timely manner issues that need the attention of your direct supervisor.
  • Create, propose plans, integrate timelines and coordinate requirements to ensure projects are brought to closure within the designated time frame.
  • Ensure that decisions are actioned.
  • Create and maintain an efficient document management and follow-up system for all projects.
  • Manage Special Projects with executive direction.

Vendor Administration:

  • Liaise with the appropriate team to determine Service Level Agreements (SLAs) with user units/departments, specifying the services to be delivered, requirements and parameters for service. Manage Service Level Agreements (SLAs) with maintenance and other service providers.
  • Review vendor proposals as well as source for vendors/service providers for all facilities services.
  • Ensure vendor compliance with site HSE requirements at all times.
  • Evaluate and advise the company concerning service requirements and when to outsource services required by divisions or business units to external providers where internal skills do not suffice
  • Present inputs to CAPEX and OPEX budget during annual budget preparation cycle and strictly manage approved budgets
  • Manage the implementation of all policies relating to facilities management.

Managing Change & Improvement:

  • Initiate realistic changes, adapt to necessary changes from old methods when they are no longer practical, identifying new methods useful for supporting improvements in performance

Internal Business Processes:

  • Complete compliance to policies & procedures.

Reports:

  • Submission of periodic reports that may be required of your role.

Skills:

  • Excellent problem solving, analytical and business intelligence skills

  • IT literate – MS Office (including Word, Excel and Outlook);

Salary
N350,000 – N400,000 monthly.
