Title: Front Desk/Communications Officer
Location: Ogudu, Lagos
Employment Type: Full-time
Key Responsibilities
Front Desk Management:
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Maintain a clean and tidy reception area, ensuring all necessary materials are available (e.g., brochures, forms).
- Handle incoming and outgoing mail and packages.
Communication:
- Assist in drafting, editing, and distributing internal and external communications, including newsletters, emails, and social media posts.
- Maintain and update the organization’s contact database.
- Manage the organization’s social media accounts, responding to inquiries and posting updates.
- Assist in organizing and coordinating events and meetings, including preparing materials and handling logistics.
Administrative Support:
- Provide general administrative and clerical support, including data entry, filing, and photocopying.
- Schedule and coordinate appointments and meetings for staff members.
- Manage office supplies inventory and place orders as needed.
- Assist with preparing reports and presentations.
Customer Service:
- Respond to inquiries from clients, partners, and the public, providing accurate information and directing them to the appropriate resources.
- Handle customer complaints or issues in a professional manner and escalate as necessary.
Record Keeping:
- Maintain accurate and up-to-date records of visitor logs and communication activities.
- Assist in managing digital and physical filing systems.
Other Duties:
- Perform other related duties as assigned by the Office Manager or other senior staff.
- Support various projects and initiatives as needed.
Qualifications
Education:
- High School Diploma or equivalent required. A degree or certification in Business Administration, Communications, or a related field is preferred.
Experience:
- Minimum of 2 years of experience in a front desk, receptionist, or administrative role.
- Experience in communications, public relations, or customer service is an advantage.
Skills:
- Excellent verbal and written communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.
- Good knowledge of graphics design and basic video editing skills is preferred.
Other Requirements:
- Strong interpersonal skills with a friendly and approachable personality.
- Ability to handle confidential information with discretion.
- Problem-solving skills and attention to detail.
- Familiarity with NGO/civil society sector is as an added advantage but not compulsory.
- Familiarity with social media platforms and content creation.
Working Conditions:
- This position is based in the office and may require occasional overtime or weekend work during busy periods. The role involves sitting for long periods and using office equipment, including computers and telephones.
Salary:
- N60,000 – N70,000 Monthly.
