Description
- Our client is seeking a diligent and organized Office Assistant to support theirreal estate team. The ideal candidate will be responsible for a variety of administrative tasks to ensure the efficient operation of the office. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Administrative Support:
- Assist with daily administrative tasks, including answering phones, managing emails, and scheduling appointments.
- Maintain organized and up-to-date filing systems, both electronic and physical.
- Prepare and distribute correspondence, reports, and other documents as needed.
- Office Management:
- Monitor and maintain office supplies inventory, placing orders when necessary.
- Ensure the office environment is clean, organized, and professional.
- Coordinate maintenance and repair of office equipment.
- Client and Visitor Interaction:
- Greet and assist clients, visitors, and vendors in a courteous and professional manner.
- Provide general information about the company and its services.
- Real Estate Support:
- Assist real estate agents with the preparation of property listings, marketing materials, and open house schedules.
- Manage and update property databases and records.
- Coordinate with clients and third parties for property showings and inspections.
- Financial Administration:
- Handle basic bookkeeping tasks, including processing invoices and managing petty cash.
- Assist with the preparation of financial reports and expense tracking.
- Communication:
- Act as a point of contact for internal and external communications.
- Coordinate meetings, conference calls, and appointments for the team.
Required Qualifications
- Ordinary School Diploma or equivalent, Associate’s or Bachelor’s Degree in Business Administration or related field is a plus.
- Proven experience as an office assistant, administrative assistant, or in another relevant administrative role.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
Desired Skills:
- Basic knowledge of bookkeeping and financial transactions.
- Ability to handle confidential information with discretion.
