Title: Office Manager

Location: Port Harcourt, Rivers

Employment Type: Full-time

Job Purpose

  • To organize and coordinate all administrative duties and office procedures, create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety whilst ensuring full compliance with underlying leases,and other agreements/policies.

Responsibilities

  • Provide leadership of overall property management and inventory control
  • Custody of control documents and reconciliation of both expendable and non-expendable inventory, including data entry
  • Oversight of spot checks/verification, and more according to rules and regulations.
  • Conduct cycle inventory reconciliation and planned inventory exercises to maintain and update the assets.
  • Management of assets and property including updating the master property register, tracking of property movements, maintenance of all office supplies and equipment and scheduling of repairs and replacement.
  • Coordinating internal and external meetings and training for the office. This may include booking venues and refreshments and coordinating invitations and schedules.
  • Manage the office vehicles by supervising their usage allocation, repairs, services, and maintenance.
  • Prepare and submit relevant vehicle reports including movement, monthly fuel consumption and maintenance.
  • Coordinate all logistical support for staff, including transport and other travel requirements, hotel accommodation etc.
  • Liaise with IT Manager to ensure staff and office IT infrastructure is established and fully functional.
  • Maintain employee telephone lists, create SOP’s, and supervise desk/office assignments, and floor maps.
  • Liaise with the building landlord as required for premise management and maintenance
  • Manage the monitoring of diesel consumption of generators to ensure diesel for generators does not go below buffer stock level.
  • Monitor the generator for maintenance purposes.
  • Arrange for the repair and maintenance of office equipment and machinery to ensure that staff works effectively without any disruptions.
  • Perform any other duties as specified by the Management.

Requisite Qualification And Experience

  • Bachelor’s Degree in Business Administration, Management, or a related field.
  • Over 5 years of proven experience in office management or a related role.
  • Excellent written and oral English
  • Team player
  • Strong interpersonal communication.
