Person Profile
- The Personal Assistant to the Executive Director provides high-level administrative support to the ED with regards to the day-to-day business of the organization including scheduling meetings and maintaining the ED’s calendar, preparing correspondence, coordinating travel and other related functions.
- The role holder is very mature, confident of self and exhibits a high level of confidentiality and professionalism. This person possesses excellent written and verbal communication skills and interpersonal skills that enable interaction with stakeholders at all levels. This person is also a self-starter, extremely organized, has a keen eye for details and highly developed problem-solving skills.
Responsibilities
- Manage Executive Director’s diary, assess priority of appointments and reallocate as necessary.
- Coordinate between commercial teams and external suppliers in a professional manner.
- Ensure timely receipt of expected reports especially for Board Meetings.
- Organize meetings and ensure that the Executive Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.
- Manage Executive Director’s travel arrangements both local and international (including visas/accommodation)
- Assist Executive Director in researching and following up with action on matters which fall within the Executive Director’s responsibility – chasing responses, triggering follow-up action.
- Supervise the activities of the Office Assistant.
- Any other duties as may reasonably be required by the Executive Director.
Qualifications, Experience and Skills
- Degree in a related field with a minimum of 5 years experience in similar role. An MBA will be an added advantage
- Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint.
- Knowledge of the social media platforms and applicability/utilization on the job.
- Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts and stakeholders (both internal and external).
- Excellent attention to detail, with the ability to maintain a high level of accuracy.
- A flexible, pro-active approach to work including the ability to prioritize and re-prioritize.
- Ability to deal with sensitive information with discretion and to maintain confidentiality.
- Ability to work flexible hours as the job may demand.
- Ability to work well under pressure and meet deadlines.
Salary
N3,500,000 – N4,800,000 annually
