Title: Personal Assistant to the Head of School

Job Description
- Responsible for handling a wide range of administrative tasks, ensuring the efficient and effective running of the Head of School’s office and daily business.
- To provide high quality administrative and secretarial support to the Head and keep her informed of any relevant matters concerning pupils, staff or parents
- Maintain a high level of integrity and confidentiality appropriate to the Head’s office
- To proactively manage all incoming and outgoing correspondence (calls and emails) to and from the Head’s office, including drafting letters and emails.
- Prepare documents and reports required by the Heads of School to attend meetings,
- Provide a high standard of secretarial support, including fast and accurate turnaround of documents, emails etc.
- Manage the planners and files in relation to the Heads of School
- Coordinate necessary travel arrangements for the Head of School
- Maintain complex diary management the Heads of School, arranging appointments and meetings as appropriate
- Ensure the maintenance of clear and effective filing, records and other systems and to keep them updated.
- Arrange a variety of weekly meetings and when required, take accurate notes.
Requirements
- B.Sc Degree with relevant work experience.
- Proven experience (3 years) as a Personal Assistant preferably in a British International School
- Excellent written and communication skills.
- Functional IT skills with proficiency in Microsoft office tools and relevant software.
- Strong interpersonal skills, with the ability to interact effectively with diverse stakeholders.
- Excellent organizational and multitasking abilities; keen attention to detail and accuracy.
- Knowledge of office management systems and procedures
- Outstanding organizational and time management skills
- Maintain a high level of integrity, discretion and confidentiality
- Experience of managing and maintaining accurate records and filing systems.
- Knowledge of educational policies, procedures, and regulations is desirable.
