Title: Personal Assistant to the MD
Location: Lagos
Job Overview
- As a Personal Assistant (PA) to the Managing Director (MD), you will be responsible for providing comprehensive administrative and secretarial support to ensure the smooth functioning of the MD’s office.
- This role requires exceptional organizational skills, discretion, and the ability to handle confidential information with integrity.
- The PA will act as a liaison between the MD and internal/external stakeholders, managing schedules, coordinating meetings, and handling correspondence.
- The ideal candidate will be proactive, efficient, and capable of multitasking in a fast-paced environment.
Key Responsibilities
- Calendar Management: Efficiently manage the MD’s schedule, including organizing meetings, appointments, and travel arrangements.
- Communication: Screen and prioritize emails, phone calls, and correspondence for the MD, ensuring urgent matters are addressed promptly and non-essential items are appropriately handled.
- Meeting Coordination: Arrange and coordinate meetings, conferences, and other events, including preparing agendas, collating documents, and ensuring all necessary arrangements are in place.
- Information Management: Maintain and organize files, records, and databases, ensuring easy retrieval of information as needed.
- Travel Arrangements: Make travel arrangements for the MD, including booking flights, accommodation, transportation, and preparing travel itineraries.
- Document Preparation: Prepare and edit documents, presentations, reports, and other materials as required by the MD, ensuring accuracy and professionalism.
- Confidentiality: Handle sensitive and confidential information with discretion and maintain confidentiality at all times.
- Relationship Management: Build and maintain effective relationships with internal and external stakeholders, including clients, partners, and colleagues, on behalf of the MD.
- Expense Management: Process and track expense reports, invoices, and reimbursements for the MD.
- Task Prioritization: Prioritize tasks and manage time effectively to ensure deadlines are met and objectives are achieved.
- Problem Solving: Anticipate potential issues and proactively resolve them, seeking input from the MD when necessary.
- Ad Hoc Support: Provide additional administrative support and undertake ad hoc tasks as requested by the MD.
Requirements
- Bachelor’s Degree in Business Administration, Secretarial Studies, or a related field preferred.
- Proven experience as a Personal Assistant or Executive Assistant to senior management.
- Exceptional organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle sensitive information with discretion and confidentiality.
- Flexibility to adapt to changing priorities and work under pressure.
- Professional demeanor and appearance.
- Ability to work independently with minimal supervision.
Preferred Qualifications:
- Previous experience in a similar role within the industry.
- Additional certifications or training in office management or administrative support.
- Knowledge of project management tools and techniques.
