Job Summary
- We are seeking a highly organized and detail-oriented individual to join our team as a Secretary. The ideal candidate will play a crucial role in supporting the smooth functioning of our organization by managing administrative tasks, facilitating communication, and providing efficient clerical support to various departments as well as cleaning the office.
Responsibilities
- Perform general office duties, such as answering phones, handling correspondence, and managing office supplies.
- Organize and schedule meetings, appointments, and conferences.
- Assist in the preparation of reports, presentations, and documents.
- Act as a liaison between executives, employees, clients, and external partners.
- Manage and respond to emails, phone calls, and other forms of communication promptly and professionally.
- Draft and proofread official documents, letters, and emails.
- Maintain accurate and organized filing systems for both digital and physical documents.
- Record and distribute meeting minutes as needed.
- Manage confidential information with discretion.
- Schedule and coordinate appointments, travel arrangements, and meetings for executives and other team members.
- Ensure that schedules are efficiently organized and communicated.
- Assist in project coordination and follow-up on assigned tasks.
- Oversee the day-to-day operations of the office, ensuring a tidy and professional work environment by cleaning the office and maintaining it.
- Coordinate office events, celebrations, and other activities.
- Utilize office software and other tools effectively for document creation, scheduling, and communication.
- Troubleshoot basic technical issues and liaise with IT support when necessary.
Qualifications
- OND or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
- Proven experience as a secretary or administrative assistant.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Discretion and confidentiality in handling sensitive information.
- Attention to detail and problem-solving skills.
- Pleasant demeanor and professional appearance.
Salary
- N60,000–N70,000 / month.
