Title: Document Control Officer

Location: Abuja (FCT)

Job Responsibilities

  • Receive all hard copy documents (Internal and External) for filing and archiving.
  • Digitize all documents upon receipt
  • Rename and file soft copies accordingly for easy retrieval and access
  • File and maintain all documents in their respective electronic files & folders.
  • Liaise daily/weekly with responsible officers in all client companies to ensure their document/information needs are met in good time
  • Ensure manual filing of hard copy documents accurately.
  • Retrieve and register documents (files/folder) in the movement register and issue same to the requesting officer(s) for signoff when giving support to other department/unit.
  • Maintain SharePoint document record daily.
  • Supervise the usage of registers and ensure all registers are used accordingly as specified by carrying out routine inspection on all registers assigned to departments/units.
  • Receive and keep an up to date record of all used registers both manually and electronically.
  • Ensure all old registers and exited staff jotters returned are captured accordingly in their respective registers and maintain a softcopy tracking record on Excel template.
  • Retrieve and register documents (files/folder) in the movement register and issue same to the requesting officer for signoff.
  • Prepare (sewing, pagination, bonding etc.) all registers before they are taken for approval by Management
  • Conduct register management duties by ensuring all registers/journals are in good shape by carrying out reinforced binding when necessary.
  • Ensure exhausted registers are retrieved and updated in the relevant template manually and electronically

Requirements

  • HND / BSc in associated field
  • Minimum of 2 years’ experience in document control, record management and associated roles.
