Title: Guest Service Agent (Female)

Location: Port Harcourt, Rivers

Employment Type: Full-time

Reports to: The Front Office Manager

Brief

  • The primary duty of the guest service agent is to assist guests with check-in & check-out processes, provide guests with hotel services information, and accommodate guests during their stay in an attentive, courteous, and friendly manner.

Responsibilities

  • Guest Check-in and out: Knowledge, understanding, and adherence to Company Core Values and Mission Statement. Perform duties as outlined in the Front Office Training Procedures. Check guests in and out of the hotel courteously and pleasantly. Use the appropriate phrases and greetings when interacting with guests. Provide information about available services and facilities of the hotel, points of interest, and entertainment attractions, making reservations as needed. Record and administer arrivals and departures.
  • Guest Services: Offer assistance to the individual needs and requests of all guests. Ensure guest needs are responded to in a timely and efficient manner. Maintain guest confidentiality at all times. Conduct yourself in a friendly and attentive manner during all guest encounters. Ensure prompt, efficient, and courteous reception of guests. Ensure guest’s immediate requirements are catered for.
  • Guest Reservations: Use the proper telephone and reservation etiquette including describing the hotel, proper rate quotation, and capturing reservations
  • Front Office Functions: Accurately manage cash drawer and credit card system. Operate phone systems in, at times, a fast-paced environment. Communicate pertinent shift information to the next shift and direct supervisor. Responsible for working safely and conscientiously. Adhere to all safety policies and procedures. Coordinates activities, and times and communicates priorities to ensure correct preparation, and delivery time to provide food for functions, a la carte, groups, breakfast, and room service.
  • Full awareness of the current daily status of the Hotel
  • Thoroughly conversant with all room types, décor, and outlook
  • Communication and recording of complaints
  • Be aware of daily functions, events, VIP and group arrivals
  • Awareness of regular guest names & requirements
  • Receipt of payments
  • Issue safe deposit boxes and allow guest access through procedures
  • To carry out any other duties as required
  • Understands and is comfortable with the role to play during a Hotel Emergency in conjunction with other staff members.

Requirements

  • The applicant must possess a University Degree (B.Sc, B.A., etc.) or HND in any discipline, with a minimum of 4 years of cognate experience from reputable hotels or guest houses.
  • Must possess good interpersonal, communication, and relational skills.
  • Must possess the ability to handle and solve customers’ problems promptly.
  • Must be computer literate, a team player; flexible, not easily provoked, highly sensitive and security conscious, customer-centric, and always hungry for and able to deliver timely results.
