Title: Executive Assistant

Key Responsibilities

Schedule Management:

  • Coordinate and manage the Managing Director’s calendar including appointments, meetings, travel arrangements and conferences.
  • Anticipate and prioritize scheduling conflicts, proactively resolving conflicts or making alternative arrangements as necessary.
  • Prepare Detailed itineraries and ensure all relevant information and material are available for meetings and events.

Communication and Correspondence:

  • Screen and prioritize incoming calls, emails and correspondence, providing timely responses and forwarding important messages.
  • Draft, proofread, and edit documents, reports, presentations and other business-related materials.
  • Maintain confidentiality and handle sensitive information with discretion.

Travel Coordination:

  • Arrange domestic and international travel, including flights, accommodations, transportation, visas, and itineraries.
  • Prepare travel expense reports and reconcile travel-related invoices.
  • Ensure all necessary travel documents and requirements are met.

Meetings and Event Support:

  • Coordinate and schedule meetings, conferences and events, including venue selection, catering, audio-visual equipment and logistics.
  • Coordinate the bi-weekly Management meetings and take the minutes.
  • Take minutes for meetings, Prepare meeting agendas, collate relevant materials, and distribute to participants in a timely manner.
  • Attend meetings, take accurate minutes, and provide follow-up on action points as needed.

Administrative Support:

  • Conduct research, compile data, and prepare reports and presentations as requested.
  • Manage and maintain confidential files, records, and documents.
  • Handle personal Errands and other administrative tasks as required.

Person Specification

  • A male candidate is strongly needed for this role
  • A Legal, Business Administration degree or any relevant field or equivalent experience
  • Minimum of 8 years’ experience supporting at the executive level
  • Strong interpersonal skills
  • Must be MS Office proficient: Excel, Word, PowerPoint
  • High level of confidentiality required
  • Strong organizational skills and ability to work efficiently in a fast-paced environment
  • Excellent verbal and written communication skills are required
  • Excellent problem-solving skills
  • Strong attention to detail
  • The ability to work independently as well as part of the team
  • The ability to prioritize work to effectively handle projects simultaneously under tight deadlines.
